What personal data we collect and why we collect it:

Employment Applications:

Your employment application data is stored in a range of secure systems and formats. These include your recruitment file, the organization’s HR management system, and in other secure locations on our servers.

 

STS processes a range of information collected from you. This may include:

  • Your name, address and contact details, including email address and telephone number
  • Your gender, if provided
  • Details of your qualifications, skills, experience and employment history, including start and end dates with previous employers

 

Employment Opportunity Email Subscriptions:

STS may collect your contact information for the use of marketing emails to communicate information on employment opportunities at our small business if you complete our subscription form. We use Constant Contact for our subscriptions and email marketing resource. Constant Contact, Inc. is a permission-based e-marketing software platform who acts as a service provider. We do not send emails to anyone who has not opted into our subscriptions, nor do we purchase, sell, nor trade our subscribers’ contact information.

 

We comply with the Constant Contact requirements to use the platform only for permission-based email marketing, in compliance with their Anti-Spam Policy. You may opt out of our Employment Opportunity emails at any time. Any emails you receive from STS through Constant Contact includes an easy, automated way for you to cease receiving marketing emails, or to change your interests. If you wish to do this, simply follow the unsubscribe, SafeUnsubscribe® and/or Update Profile links at the end of the email.

Comments:

When visitors leave comments on the site, on either our community support blog or other areas where allowed, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

 

Media:

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

 

Contact forms:

Contact forms across the STS website stores submission data collected, which may include the submitters’ personal information to include name, email address, and contact number, along with meta information about the submissions, including the time stamp, the origin IP address, and the user agent (browser). The information is stored in a protected database on our secure hosting server for backup and later reference purposes.  It may also be shared internally via protected e-mail transmission.

 

Cookies:

STS uses Google Analytics to track and collect user interactions on our website. For behavior profiling, Google Analytics extensively collects data including IP addresses, user IDs, and cookies. STS uses cookies to analyze user activity in order to improve the site. We can use such analysis to gain insights about how to improve the functionality and user experience of the site. We use cookies to associate user activity with the third party website that referred the user to our Site. We do not collect personally identifiable information in this manner, nor do we share information about user activities outside of our organization.

 

If you have a log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

How Long We Retain Your Data:

Comments and User Account Data:

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

 

Job Application Data:

Processing data from job applicants allows us to manage the recruitment process, assess, and confirm a candidate’s suitability for employment and decide to whom to offer a job. If your application for employment is unsuccessful, we will hold your data on file for future employment consideration for as long as the information is relevant, or until you request it to be removed. You may request your data be removed from our databases at any time. This does not include any data we are obliged to keep for legal, or security purposes.

 

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file, and retained during your employment. After your employment, your information is stored as required by law.

What Rights You Have Over Your Data:

If you have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How We Protect Your Data:

Reporting Breaches:

All members of STS have an obligation to report actual or potential data protection compliance failures. This allows us to:

  • Investigate the failure and take remedial steps if necessary
  • Maintain a register of compliance failures
  • Notify the proper authority of any compliance failures that are material either in their own right or as part of a pattern of failures

 

Depending on the severity of the incident and the exposure of sensitive data to unauthorized persons, STS has various levels of reporting for security incidents. In all cases, an IT Security Incident Report will be completed and provided to the STS IT Manager. As necessary, other company departments and outside organizations including government agencies may need to be notified of the security incident, as well as any affected individuals if personal data was included in the breach.  After steps have been taken to resolve the data breach, STS will review the cause of the breach and evaluate if existing protection and prevention measures and processes are sufficient to prevent similar breaches from occurring, and where applicable put a stop to practices which led to the data breach.
